User Email Guide: Welcome, Password Reset, and Customization Tips

This guide will walk you through BLR's new user and password reset emails, along with tips on how to customize these messages to fit your brand’s unique voice. Whether you're looking to engage new users or help them recover their accounts, this guide provides all the tools you need to create clear, effective, and personalized email experiences.

BLR's Default Email Examples


Every user created through BLR HQ will get a welcome email from noreply@hq.blr.com. Be sure to add noreply@hq.blr.com to your whitelist. Below are examples of what users will see when they receive a welcome email.


Invite User

When a user already in BLR's database is linked to your membership, they must accept your invitation to complete the connection. Once they accept, they can use their existing BLR credentials to log into your membership. 


New User

When a new user is added to BLR's database as part of your membership, they will receive a welcome email inviting them to set a password. After creating their password, they can use their email and the new password to log in to your membership.  


Reset Password

Admin users can also send Password Reset emails to users who may have forgotten their password. The standard BLR Password Reset email is displayed below.




Creating Custom Emails

With BLR HQ, you can customize your welcome and password reset emails to fit your needs. 


Personalization options include:

  • Email Subject
  • CC Recipients
  • Logo
  • Greeting
  • Email Body
  • Action Text (Call-to-Action Button)
  • Closing
  • Signature

Best Practices for Crafting Effective User Email

  • Personalized and Clear Subject Lines: Use a friendly, clear subject that indicates the purpose of the email (e.g., "Welcome to [Product Name]" or "Reset Your Password").
  • Clear Introduction of Your Offering: Briefly explain what your membership offers and how it can benefit the user. This sets expectations for their experience.
  • Offer Support: Include contact information or a link to support in case the user faces issues with the reset process.
  • Friendly, Professional Tone: Maintain a welcoming and professional tone in both emails to foster trust and engagement.



How to Customize an Email


On the Manage Users page, click the ellipsis (three dots) in the top-right corner, then select Manage Emails.  


The Manage Emails modal provides three email templates for you to edit: Invite User, New User, and Reset Password. Select any of these templates to make edits. 


Edit the desired components of your email(s) and click Save Template to save your changes. You can also preview your customized email by clicking Preview



While previewing, you have the option to send a test email to yourself or someone else to see how it will appear as a real email.  


Note: Be sure to customize each email template individually. Changes made to one template will NOT affect the other
